A useful custom rug brief identifies the design direction, finished dimensions, fibre and construction preferences, intended use, delivery location and required date. Separate the details that are fixed from the ones you want advice on. That gives a supplier a clearer basis for a quote and avoids assumptions becoming part of an order.
You do not need a finished presentation to start. A reference, a floor plan and a few constraints can be enough to narrow the options.
Start with the room and how it will be used
Describe the project type and rug location: a residential sitting room, dining area, guest bedroom or boutique hospitality space. Include the conditions that influence the specification, such as chair movement, frequent spills or an entrance exposed to wet shoes.
For commercial projects, list the actual performance or certification requirements. Do not assume a residential handmade rug meets them. Suitability needs confirmation for the proposed rug and use.
Specify the layout and dimensions
State the finished width and length, or the diameter, in one unit. If measurements are provisional, label them clearly. Include the furniture arrangement and proposed rug outline on the plan when possible.
Explain whether seating will be wholly on the rug or only partly supported by it. For a dining room, show the chairs pulled out. For runners, include doors and intended start and finish points.
Agree whether dimensions include fringe and what tolerance is acceptable. If a rug must fit between fixed joinery or beneath a door, make that constraint explicit.
Describe what matters in the reference
A reference photograph can mean several things: colour, pattern scale, border, pile or an overall atmosphere. Tell the supplier which qualities you want to carry through.
For example: “Keep the open pattern and muted blue, but use a less prominent border.” That is a more actionable direction than “something similar”. It also leaves room to suggest an existing design rather than treating the photograph as an exact reproduction brief.
If adapting a collection design, include its name or link and identify which elements are fixed.
Confirm material, construction and colour
Check composition and construction separately. Hand-knotted, hand-tufted and flatwoven describe different ways of making a rug; “wool” describes a material. Neither alone specifies the finished surface.
Include pile height or feel if important, and ask which details remain open. If colour approval is needed, request the available sample or strike-off options with their cost and timing. Do not build an installation schedule around a sample service until it is confirmed.
For a custom shape or changed dimensions, ask how the pattern and border will be adapted. Keep the agreed design reference with the quote so the client and supplier are approving the same thing.
Work backwards from the required date
Distinguish making, dispatch and delivery. At Monolith & Heart, hand-knotted rugs generally take about 13–14 weeks to make; other constructions often take about 4–6 weeks. The team confirms the specific schedule. Approval steps and delivery need to be included separately.
Share access constraints too: stairs, lift size, delivery booking requirements and any restrictions at the project site. A rug reaching the address and being ready for installation are different milestones.

Keep the final specification with the invoice
Before authorising production, compare the quote and approved specification. Check dimensions, design, composition, total, payment terms and timing. For our orders, confirmed prices include taxes and duties, with free worldwide shipping.
Approved Monolith & Heart trade accounts receive 15% off. Heddle lets you explore designs, save project quotes and request an invoice from the team. Treat an exploratory recommendation as a starting point; the team confirms the order details before sending the invoice.
If you prefer to begin by email, ask us about your project with the brief you already have. We can help identify what still needs deciding.
